"There was a time not long ago when we tried to manage our sprawling PegaWorld PR interview scheduling grid in an Excel spreadsheet. And let me tell you, I hated that spreadsheet with a passion of 1000 suns. Assigning the execs, reporters, rooms, and the PR representation for every meeting can be a tactical juggling act. My biggest fear is that we manually entered the wrong time or transcribed something wrong into an exec briefing sheet that throws everything off. And visually, it just looked like a jumbled mess that made it hard to see at a glance what was going on - not a great feeling when you are blurry-eyed from all the logistical details.
But I finally wised up when I stumbled upon Teamup Calendar. This thing is a joy to use. Truly. There were multiple times in the weeks leading up to PegaWorld when our team commented to each other 'Thank god for TeamUp'. It really takes a lot of the anxiety out the whole process so you can put your energy into higher-level issues.
What do I like about it? Here's three reasons:
1. Super easy to use - Scheduling a meeting and making the inevitable changes on the ground is a breeze. Every person and meeting room is its own calendar, so you just add the right calendars to the meeting. If someone needs a reschedule, I can pull up the mobile app wherever I am in the conference hall and drag and drop an accurate change. We had more than 50 meetings scheduled between dozen of execs, reporters, influencers and clients, but TeamUp made it so much easier to manage all the elements.
2. It's dummy proof - For example, I can set it up so it won't allow accidental overlaps for certain people or rooms. And I can automatically create individual schedules for briefing books without fear I mistranscribed a time or place. It gives me peace of mind that I didn't mess some detail up.
3. It's highly customizable - It's got an almost overwhelming array of features to make it work for whatever event you've got going on. And if they don't have a feature you think they need, they are highly open to suggestions. Each year I send them a note with ideas, and I swear a good majority of them have actually been implemented in the next year.
