If you downgrade a calendar's subscription, you will have reduced access to historical data. The allowed number of sub-calendars will be reduced, so any data on sub-calendars over the new (downgraded) limit will become inaccessible. Here's how that calendar data is handled:
If we reduce the number of sub-calendars, will all existing calendar data remain available?
Only the events on your active sub-calendars will be visible. You can change which sub-calendars are active after downgrading, and at any time actually. See how to temporarily activate / deactivate sub-calendars.
Will both historical and future events be preserved?
Future events on active sub-calendars will be preserved.
For historical data, past events will be accessible based on the limits of the downgraded plan. Compare historical data limits on our pricing page.
On the free Basic plan, past events that are older than one year become inaccessible on a rolling basis. So in other words, events that occurred more than a year ago would no longer show up on your calendar. So if you downgrade a calendar from a paid plan to the free plan, you will NOT have access to past events older than one year.
However, the historical data is not deleted; it's just inaccessible unless you upgrade to a plan with higher historical data limits. More info here.
Will event details such as descriptions, attachments, participants, and other metadata remain intact?
Yes. All event data is saved. Your subscription plan determines what is accessible, however; as stated above, historical data past a plan's limits will not be accessible. Sub-calendars over a plan's limits will not be accessible. And other features, such as custom fields, also have limits based on the active subscription. For example, if you had 10 custom event fields on a paid plan, and downgrade to the free plan with a limit of one custom field, you will only be able to use (and access the data) for one custom event field.
Are there any recommendations before downgrading?
You might like to export your data before downgrading so that you have one complete backup.
Export your data first
Before downgrading a calendar's subscription, export the calendar data to either a CSV file (as described here) or to a PDF file.
Note that even when your calendar is on our free plan, you can change which sub-calendars are currently active and by doing that, change which events are on display. See here for how to activate/ deactivate sub-calendars in this manner.
Once you've exported your calendar data, you can downgrade or cancel your subscription. Canceling will downgrade the calendar to our free, Basic plan. You can then continue using your calendar on the free plan for as long as needed.
You can upgrade at any time to see all of your historical data once again and to have access to all the other paid features.
