If you have a booking calendar for resources or shared spaces, you probably have some guidelines to make the booking process fair and efficient.
For example, perhaps you limits users from booking a space for more than two hours at a time. This is a common type of booking guideline, meant to ensure that the space or resource is readily available for all users.
Or perhaps you need certain information when someone makes a booking. Perhaps you would like users to specify the number of people attending, so the meeting room they book can be set up to accommodate the attendees.
You can use an event field to remind users of a guideline, request their agreement with certain restrictions, or capture the needed information. If you make the event field required, then users will not be able to save their booking without completing the field.
Example 1: Booking fits in the required timeframe
A custom choice field, required.
The choice field label asks a question about each booking.
The user must choose an option to answer the question.
The "No" option contains instructions to make the booking fit the guidelines.
Example 2: Event details are included in the booking
Two custom choice fields, required.
Users must choose from the options to designate the event level and event discipline.
Example 3: Contact name and phone number is required
Two default event fields, renamed and required.
The Who field is renamed to Contact Name.
The Where field is renamed to Contact Phone. Mapping integration is turned off.
Users must provide a contact name and phone number before they can save a booking.
